Executive Assistant

The Executive Assistant has a broad range of skills, a strong attention to detail, and ability to juggle multiple tasks simultaneously. Naturally discreet, efficient and organized you will ensure the productivity of a senior leader is maximized.
ROLE REQUIREMENTS
- Detailed diary management and travel arrangements for all internal and external meetings and appointments – using insight and decision-making skills with regards to rescheduling and juggling meetings
- Being fully aware of the diary commitments and upcoming meetings to enable them to work more efficiently and plan ahead where possible
- Email management, including prioritising and responding to messages on Directors’ behalf (where necessary)
- Liaising with international colleagues and contacts
- Organising conference calls
- Managing expenses and company credit cards
- Organizing travel arrangements (via travel agent)
- Producing Word and Excel documents and PowerPoint presentations
- Opening post, filing, and answering phone calls
- Minute-taking at senior management meetings and following up on actions/commitments
QUALITIES AND CHARACTERISTICS
- Proven experience working as an assistant for a member of senior management
- Experience as an assistant for more than one manager simultaneously is a plus
- Proficient in Microsoft Office
- Ability to facilitate and maintain positive relationships
- High level of confidentiality, professionalism and ethical standards
- Strong attention to detail and insistence on accuracy
- Dependable and responsive to management direction
- Ability to work independently, multi-task, and adapt to sudden changes
- Excellent oral and written communication
