As part of the Studio Services team, the Studio Manager will be based in our Stockholm studio.

Responsible for ensuring the AKQA studio space is representative of our core values of innovation, service, quality and thought, this person will address all visitors, external clients, and AKQA employees, anticipating their needs, and ensuring they enjoy a world-class customer service at all times with a strong attention to detail.

The Studio Manager will manage all aspects of our AKQA Stockholm studio’s everyday operational and maintenance needs, fostering an enjoyable culture.



ROLE REQUIREMENTS

  • Assures all calls are answered professionally and promptly, routed to individuals, and takes messages when necessary.
  • Assisting and support the organisation with set-up of all internal events and proactively contribute to event ideas
  • Greet all visitors in a friendly and professional manner, establishing professional relationships with regular clients. 
  • Manage daily meeting room schedule, completing detailed set-up of all meeting rooms .
  • Create a 5 star experience on the front desk for clients and employees. 
  • Run invoicing and payment tracker. Work with finance to ensure timely payment.
  • Arrange catering when requested.
  • In charge of organising team events such as the Summer and Christmas party.
  • Make sure the office looks tidy and representative at all times.
  • Manage the day to day operations of the office.
  • Assist HR Manager with set up new hires.
  • Maintain office supplies, stationary, business cards, AKQA branded paper/envelopes and inventory.
  • Manage and plan weekly deliveries.
  • Manage onboarding tours and be responsible for instructing security guidelines to be followed on site.
  • Liaise with IT on issues, moves etc.
  • Manage health and safety practices, including emergency evacuation procedures, and assist in times of crisis.
  • Manage building resources, becoming the point of contact for all building services, placing maintenance requests.
  • Assisting the booking of travel arrangements for employees and clients, acting as point of contact for travel companies. Ensure all travel complies with our Travel Policy.
  • Other duties may be assigned.

 

QUALITIES AND CHARACTERISTICS

  • Dynamic personality with a strong will to action and ability to set and implement priorities, and work to high service levels, with high attention to detail.
  • Fluent verbal and written communication skills in Swedish & English.
  • Basic knowledge of Excel and Keynote. 
  • Strongly value the importance of service.
  • Constantly strive to improve AKQA service levels, processes, and procedures.
  • Build successful partnerships with clients, guests and colleagues, cultivating world-class relationships.
  • ‘Concierge’ level of attention to customer service and client focus.
