Executive Assistant to CEO EMEA

We’re seeking an exceptional Executive Assistant to support the CEO of AKQA EMEA in a dynamic, fast-paced environment. This role is pivotal in ensuring the CEO’s time is optimised, priorities are aligned across global and regional stakeholders, and the rhythm of the business is maintained with precision and agility.

 

ROLE REQUIREMENTS

  • Complex Travel Management: Plan and manage intricate, frequently changing global travel itineraries, ensuring all logistics (flights, accommodation, ground transport, visas, local intelligence) are flawlessly executed and adapted as needed, often at short notice.
  • Diary & Time Management: Manage an ever-evolving calendar with high accuracy and strategic prioritisation. Ensure time is allocated effectively across internal meetings, external engagements, travel windows, and key focus areas.
  • Meeting & Event Coordination: Coordinate and prepare spaces for internal and external meetings, lead meeting room setup and logistics for key sessions at the London studio and globally where relevant, ensuring an elevated, professional experience for all attendees
  • Stakeholder Liaison: Act as a trusted conduit between the CEO and AKQA’s global and regional leadership teams. Proactively manage the flow of information, ensuring that priorities are clearly communicated, schedules are aligned, and actions are followed up in a timely manner. Anticipating needs across functions and geographies. 
  • Executive Support: Provide high-level administrative support, including expense processing, confidential correspondence, document management, and handling sensitive matters with discretion.
  • Team & Culture Integration: Become a valued, embedded member of the EMEA team—contributing to a positive, inclusive, and high-performing culture. Build trusted relationships across the organisation, demonstrating sound judgment, empathy, and a collaborative spirit in everything you do.

 

QUALITIES AND CHARACTERISTICS

  • Proven experience supporting C-level executives in a global, fast-paced organisation—preferably within a creative, technology, or consultancy environment.
  • Expert in managing complex, ever-changing travel and calendars with minimal oversight.
  • Impeccable organisational skills and attention to detail.
  • Exceptional written and verbal communication skills; able to interact confidently with senior stakeholders.
  • Highly proactive, solutions-focused, and calm under pressure.
  • Discreet, trustworthy, and able to handle confidential information with integrity.
  • Confident with digital tools such as Google Workspace, Slack, Microsoft Team, and internal expense /travel management systems (bonus if they have concur experience)
